Organization of the Souks area

The Festival creates an area called "SOUKS", in which the Tenant receives the possibility of setting up a stand, in order to sell his goods or services. The tenant can be a private individual or an association. 

The provision of this location covers the following services:

• general lighting in the form of light garlands
• an overall decoration of the place
• one power supply per stand, as indicated in the contract
• your personal entrance passes
• a Soul of Souk staff permanently on the ground, to accompany you when necessary
• security services, firefighters, police ready to intervene if necessary during the festival (NB: the organization does not have a medical service during the build-up days. On the other hand, during the festival a Red Cross service is available on site)
• infrastructure teams (eg electricians) on the ground ready to intervene if necessary
• access to the site from Thursday before the festival to carry out the set-up until Monday, the day after the festival to complete your disassembly. 

The location

The Tenant must bring all the equipment necessary for the assembly of his stand (tent, tables, weights to stabilize the stand, chairs, decorations, spotlights, extension cords (unwinder of at least 30 m), tools, ladder, etc. .).

The stand must respect the dimensions specified in the contract, both in width and in length.

The stand, or any decoration attached to it, must not exceed a height of 4 meters, unless specifically requested and agreed upon. 

The Organizer provides the Tenant with a power supply. The Tenant is not authorized to touch the electrical equipment. The connection to the power supply will only be done with a field manager from the Soul of Souk team, who will identify your electrical plug in order to ensure the most effective interventions possible.

The electrical equipment used must be approved, suitable and in good working order. Verifications will be made during the assembly of the stands by the Festival's electricians. Any non-compliant material must be repaired or changed according to.

The power consumption of the stand must not exceed the power specified in the agreement, under penalty of a fine. It is strongly recommended to bring tie wraps, in order to attach your sockets and power strips at height.

Stand locations are determined by the Festival before set-up.

Instructions for your stand

Know that the festival requires special attention to the decoration of your stand. Plain white undecorated tents are not favored.

For safety reasons, the stand and its decoration must favor non-flammable (or hardly) flammable materials such as wood, fire-retardant fabrics, corrugated iron, bamboo.

For aesthetics, care should be taken to avoid or conceal any material that is too overtly high-tech, such as aluminum structures....

Are not authorized :
• Inflatable stands
• Inflatable objects
• Stands made of nylon canvas and/or flammable plastic

It is very important to foresee the possibility of bad weather (we are in Belgium after all...), you are outside. The tent must always be able to protect the contents of the stand from the rain. The wind can lift and completely overturn a tent.

You need a solid tent, and plan to weight the feet. Plan to close your tent for closings and overnight.

The stand must absolutely have lighting inside (otherwise it becomes a dark spot at night)

• Illuminated signs are not permitted.
• There may be an image projection system inside the stand, but outdoor screens are not permitted.

For any other particular characteristic of the stand, and its decoration, the Tenant must make a proposal and obtain the agreement of the Festival.

Safety instructions

Fire safety

The safety of property and people justifies strict control by firefighters.

Inside and around the craftsmen's stands, the production of open flames (candle, gas cooking appliances, etc.) is totally prohibited during the festival and during assembly periods.

Tobacco

The organization asks all shop keepers to ensure the cleanliness of the premises, this includes cigarette butts on the ground. 
The Organizer will distribute portable ashtrays to help keep the premises clean.

Inventory + deposit of €150

An inventory of the place of entry will be carried out before the arrival of the Tenant, photos of the place will be taken by the Organization.

A second inventory will be carried out after the dismantling of the stand on the night of Sunday to Monday. Again the Organization will proceed to take photos of the premises. Any deterioration noted will see the non-restitution of all or part of the deposit.

For any non-compliance with these rules of procedure, the offenses will also be deducted from your deposit (e.g. non-compliance with your pitch, use of illuminated signs, etc., etc.)

Some examples of violations:

1. Damage the pitch, trees and roots around it or on the way to your pitch.

2. Leave its location untidy at dismantling

3. Leave trash or waste after you leave

4. Disrespecting staff working at the festival.

You have 15 days to appeal against any sanction decision by reasoned and registered letter to Zig Zag asbl, Avenue Monplaisir 77, 1030 Schaerbeek.

If you are selected, you will receive in due time all the information concerning the assembly timing and all the useful information. You are asked to read these documents carefully. All the answers will be there. We will no longer automatically answer certain questions, because we believe that everyone must take responsibility. We thank you in advance.
